Position Summary
Responsible for data entry and managing the Hawaii Care Choices donor database system. Responsible for providing reception, office, clerical and data entry support in the administrative process at 1011. Provides backup coverage to the Receptionist in establishing and maintaining a positive and caring environment with all visitors, staff and guests. Answers incoming telephone communications.
Duties & Responsibilities

Maintains and updates the donor database, including data entry, tracking, and generating reports as requested.

Prepares and distributes donor receipts, acknowledgment letters, and thank-you correspondence in accordance with company policies and timelines.

Provides logistical and administrative support for meetings, fundraising campaigns, and organizational events.

Assists with opening the main office promptly at 8:00 a.m. and securing the building at 4:30 p.m. as needed.

Serves as backup for managing the transition of the answering service before and after business hours.

Answers incoming calls as backup support, using the Hawaii Care Choices standard messaging protocol and directing calls appropriately.

Assists in processing daily income received via mail and other sources, ensuring accuracy, completeness, and proper documentation.

Organizes, files, types, and assembles documents and records related to administrative operations.

Adheres to and promotes safety protocols and organizational policies and procedures.

Facilitates communication and coordination between both Hawaii Care Choices locations.
Skill & Knowledge Requirements

Competent working knowledge/skills with Windows operation system and Microsoft Office computer software.

Excellent organizational and communication skills, both oral and written.

Knowledge of general business and office procedures and policies.

Ability to use sound judgment and handle multiple tasks concurrently.

Flexible and reliable.

Ability to carry out oral and written instructions.

Self-motivated and able to work independently as well as in cooperation with others.

Knowledge of the English rules of grammar, correct telephone etiquette, and general office procedures, i.e., typing and filing.

Basic math skills; able to generate accurate data.
Education & Experience
-
High School Diploma.
-
Associates Degree in business or office technology preferred.

Minimum of one (1) year experience in related field.

Operates phone system, computer hardware, calculator, printer, facsimile, copiers and other standard office equipment.

Frequent use of personal motor vehicle to run errands as directed.
Work Hours
-
Primarily Monday through Friday, 8:00 a.m. to 4:30 p.m., with a half-hour lunch break.

Duties may require after-hour work, including weekends as needed.

Holidays observed.
Pay $20.00 - $23.00/ hourly
This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors.
